This Privacy Policy explains how SumX ("we", "us", or "our") collects, uses, and discloses your information when you use our mobile application ("App"), including time tracking and timesheet features. By downloading, installing, or using the App, you agree to the terms of this Privacy Policy.
When you use the App, you may choose to provide us with certain information, such as your name, email address, and any other information you choose to provide when contacting our support team.
We may automatically collect certain information about your device and usage of the App, including your device model, operating system version, unique device identifiers, IP address, mobile network information, and information about how you use the App.
With your permission, the App may collect location data—including precise location derived from GPS, Wi‑Fi, Bluetooth beacons, and cellular signals, and sometimes approximate location—to support workforce time tracking and related controls requested by your organization.
When collection may occur. Depending on your permissions and how your employer has configured the App, location may be collected while you actively use the App and, if you grant the applicable permission on your device, while the App is in the background or not visibly in use—including when the App is closed (for example, limited periods when you are clocked in or when geofence monitoring is enabled). Collection in the background is used only for the purposes below, not for general analytics of your movements outside of work-related flows.
Why we use it. Location data is used to operate features such as: accurate work-hour and attendance records; geofencing (verifying that you are at an authorized or designated work site or zone when required by your organization); clock-in and clock-out validation tied to place; and helping reduce time fraud. It is not sold to data brokers and is not used to build advertising profiles or to track you for third-party marketing unrelated to providing the service to you and your employer.
Your control.You can review and change location permissions at any time in your device settings (for example, limiting access to "While Using the App" on iOS or adjusting location access on Android). If you deny location access or do not grant background access where your organization requires it, some features (such as geofence-based clock validation) may be limited or unavailable. You may also receive an in-app explanation before sensitive permissions are requested; that notice is meant to work together with this Policy.
Retention.Location associated with time entries is retained only as long as needed for payroll, audit, dispute resolution, and legal obligations, or as directed by your organization's administrator and our agreements with them, unless a longer period is required by law.
We may use the information we collect for various purposes, including to provide, maintain, and improve the App, to communicate with you, to personalize your experience, to analyze how the App is used, and to detect, prevent, and address technical issues.
Where you have granted permission, we use location data solely as described in Information We Collect — Location information (including background), including to record and validate time and attendance and to perform geofencing when enabled by your organization.
We may also use your information to send you promotional communications, such as updates, newsletters, and other marketing messages. You may opt out of receiving these communications at any time by contacting us at info@sumxai.com.
We may share your information with third-party service providers who help us operate the App, such as cloud storage providers, analytics providers, and customer support providers. These service providers are authorized to use your information only as necessary to provide services to us.
We may also disclose your information if required by law or if we believe that such disclosure is necessary to comply with a legal obligation, protect our rights or property, or prevent fraud or harm to others.
If you use the App through an employer or other organization, information generated by the service—including location-derived attendance, geofence results, and related timestamps—may be accessible to authorized administrators of that organization for workforce, payroll, safety, and compliance purposes, consistent with their policies and applicable law.
We will retain your information for as long as necessary to fulfill the purposes outlined in this Privacy Policy unless a longer retention period is required or permitted by law.
You may choose not to provide certain information, but this may limit your ability to use certain features of the App.
For location, you can withdraw or narrow consent through your device's privacy settings. Withdrawing background location may affect geofence or off-site clock validation features your employer relies on.
You may opt out of receiving promotional communications from us by contacting us at support@sumxai.com or by following the instructions provided in the communication.
The App is not intended for use by children under the age of 13. We do not knowingly collect personal information from children under the age of 13. If you are a parent or guardian and believe that your child has provided us with personal information, please contact us at support@sumxai.com, and we will take steps to delete such information.
We may update this Privacy Policy from time to time. If we make any material changes, we will notify you by posting the updated Privacy Policy in the App or by other means. Your continued use of the App after the effective date of the updated Privacy Policy will constitute your consent to the changes.
